Who is responsible?

BeeGee Designs is operated by Ben Grubb, who is responsible for the personal information described here. For privacy questions or requests, email info@beegeedesigns.co.uk.

What information do I collect?

If you use the enquiry form or email me, I receive your name, email address, the details of your project and anything else you choose to include. You do not need to include sensitive information in an initial enquiry. The website and its hosting provider may also process technical data, such as IP address, browser information and request logs, to deliver and protect the site.

Why do I use it?

• Enquiries: to read your request, reply, discuss your project and prepare a proposal. When you ask about a potential contract with you personally, the lawful basis is steps before entering a contract. For business contacts, the lawful basis is my legitimate interest in handling genuine business enquiries.
• Site security: to keep the website and form working and prevent abuse. The lawful basis is my legitimate interest in running a secure website.
• Client and accounting records: if we work together, to deliver the agreed service and meet applicable tax and record-keeping obligations. The lawful bases are performance of a contract and legal obligation, as applicable.

The form asks for a name, email address and message so I can respond. There is no legal obligation to send an enquiry, but without contact details I cannot reply. Sending an enquiry does not sign you up to marketing emails. I do not make decisions about you solely by automated means that have legal or similarly significant effects.

Who handles the information?

FormSubmit processes form submissions and forwards them to my BeeGee Designs mailbox. Microsoft 365 hosts that mailbox. Cloudflare hosts and protects the website. These providers may process limited information to supply their services. I may also share information where required by law or with professional advisers where needed for a client relationship. I do not sell enquiry details.

Some providers may process information outside the UK. You can email me for information about a particular provider and the applicable transfer safeguards.

How long do I keep it?

If an enquiry does not lead to work, I aim to delete it within 12 months of our last contact. If we work together, I keep project and accounting records for as long as needed to provide the service and meet applicable legal requirements, then delete them securely. Hosting and security logs are retained according to the relevant provider's settings and policies.

Cookies and tracking

The website code does not currently include advertising or analytics trackers, and I do not use enquiry details for behavioural advertising. The hosting and form providers may use technical data or strictly necessary security measures to operate their services. If I introduce optional cookies or similar tracking, I will update this notice and seek consent where required before using them.

Your rights

Depending on the circumstances, you can ask to access or correct your information, have it erased, restrict its use, receive a portable copy, or object to processing. You can object to processing based on legitimate interests at any time. Email info@beegeedesigns.co.uk to make a request or raise a concern. You can also complain to the Information Commissioner's Office (ICO).

I will update this page if the website or the way I handle enquiries changes. The date at the top shows when it was last revised.
